Nothing in this policy excludes, restricts, or modifies any rights or remedies that cannot be excluded under the Australian Consumer Law. Cancellation terms should remain consistent with consumer protection requirements and should not override guarantees that apply by law.

This cancellation policy is designed to protect event planning time, artist and host scheduling, preparation costs, travel arrangements, and custom event materials. Australian small-business guidance recommends that cancellation terms clearly explain deposits, notice periods, refunds, credits, rescheduling, and any non-refundable costs so that customers understand the booking conditions before paying.
Booking confirmation
A booking is confirmed only once the required deposit or booking payment has been received. Many Australian event and paint-and-sip businesses use non-refundable deposits or non-refundable ticket payments to secure a date because materials, staffing, and session capacity are committed in advance.
For this business, all bookings require a deposit or upfront payment as advised at the time of booking. By paying the deposit or invoice, the client agrees to this cancellation policy.
Deposits and payments
Deposits are non-refundable. This reflects the administrative work, date reservation, event preparation, and the loss of opportunity to accept another booking for the same time slot, which is a common approach in Australian cancellation policies for creative and event-based businesses.
Where a package includes custom materials, venue styling, premium equipment booking, special playlist preparation, or travel planning, those costs may also be non-refundable once purchased or committed.
Public session cancellations
For individual tickets or public sessions, cancellations made at least 48 hours before the scheduled start time may be transferred to another available session or issued as a business credit valid for a future booking. Australian paint-and-sip providers commonly use a 48-hour notice window for credits or rescheduling rather than cash refunds.
Cancellations made less than 48 hours before the event are non-refundable and non-transferable. No-shows and same-day cancellations forfeit the full amount paid, which is consistent with the stricter late-cancellation approach used by similar operators.
Private event cancellations
For private home bookings, private parties, and customised group events, the deposit remains non-refundable in all circumstances. If written notice of cancellation is received more than 14 days before the event date, any amount paid above the deposit may be converted to a credit for a future event, less any non-recoverable third-party costs already incurred.
If cancellation occurs within 14 days of the event date, the booking fee is non-refundable because staffing, supplies, scheduling, and event preparation are already substantially committed. Stricter treatment of private-event cancellations is common where the booking blocks a specific date and requires custom planning.
Rescheduling
Rescheduling requests must be made in writing and are subject to availability. Where sufficient notice is given, the business may allow one transfer of the booking to a new date; however, repeated changes may incur an administration fee or require a new deposit, depending on the circumstances and how much preparation has already occurred.
Approval of a reschedule is at the discretion of the business and depends on staffing, equipment availability, travel logistics, and the type of event booked.
Guest number changes
Reductions in guest numbers within 7 days of the event may not reduce the quoted minimum booking fee. This is because stock, staffing, and time allocation are generally based on the confirmed event size and minimum package terms.
Increases in guest numbers are subject to approval, available materials, and additional charges.
Travel, setup and custom items
Travel charges, delivery costs, special décor, premium equipment hire, personalised canvases, customised playlists, or pre-purchased food and beverage items are non-refundable once arranged, ordered, or paid for on the client's behalf. This reflects the standard principle that businesses may retain amounts covering actual costs already incurred.
Where the event location is outside the standard Brisbane service area, additional travel fees may apply and are payable even if cancellation occurs after travel arrangements have been committed.
Cancellation by the business
If the business must cancel due to severe weather, illness, safety concerns, equipment failure, or other circumstances outside reasonable control, the client will be offered either a full refund of monies paid to the business or a transfer to a mutually agreed future date. Similar Australian event policies commonly provide a refund or reschedule where the operator cancels the session.
The business will not be liable for indirect or consequential losses arising from such cancellation.
Client substitutions
A client may transfer a ticket or booking place to another guest by providing notice before the event start time, provided the replacement guest meets any event conditions and the booking type allows substitutions. This option can reduce avoidable losses without requiring a full cancellation.
Late arrivals and no-shows
Late arrival does not extend the session finishing time unless expressly agreed and paid for in advance. If the client or guests fail to attend, the booking is treated as a no-show and all monies paid are forfeited.
Alcohol Policy
The Canvas & Karaoke Club does not supply any alcohol or take responsibility for any damages or injuries incurred due to alcohol consumption at the event venue or chosen location. Customers provide their own alcohol on the day. Any damages incurred to business property or equipment by customers due to negligence and alcohol misuse will incur an additional fee. No violence or abuse will be permitted and customers will be asked to vacate the property should this occur.
No Illegal Drugs Policy
The Canvas & Karaoke Club does not allow any illegal drug use or trade during the duration of the event and will immediately vacate the property should this occur. The business does not take any responsibility for any injury obtained during an event. The full fee will need to be paid and all fees are non-refundable in this circumstance.
